PRIVACY POLICY
The Junior Darts Corporation (JDC) is committed to protecting and respecting your privacy. This Privacy Policy explains how we collect, use, store and protect personal information across our websites, competitions, memberships, academies, coaching programmes, educational activities and related services.
SAFEGUARDING STATEMENT OF PURPOSE
The Junior Darts Corporation (JDC) acknowledges its duty of care to safeguard children and young people which means preventing and protecting children from abuse or neglect and educating those around them to recognise the signs and dangers. We are committed to ensuring safeguarding practice reflects statutory responsibilities, government guidance and complies with best practice.
The policy recognises that the welfare and interests of children are paramount in all circumstances. It aims to ensure that regardless of age, ability or disability, gender reassignment, race, religion or belief, sex or sexual orientation, socio-economic background, all children:
- • have a safe, positive and enjoyable experience within our organisation, in a safe and child-centred environment
- • are protected from abuse and poor practice whilst participating in darts or outside of the activity.
WEBSITE & PLATFORM TRANSITION
JDC is transitioning its primary online platform from www.dartasylum.com to www.juniordarts.com. Existing customer accounts, memberships, purchase histories and login details may continue to operate as part of the same underlying platform and customer management system. Personal data previously collected through DartAsylum may continue to be securely processed and managed by JDC as part of this operational transition.
CHILDREN & YOUNG PEOPLE
JDC works extensively with children and young people under the age of 18. JDC recognises that children’s personal information requires additional protection under UK GDPR and related guidance.
Where appropriate, parents or guardians may provide information on behalf of a child, act as the primary contact, provide consent for participation, livestreaming, photography, rankings publication, promotional media use and social sharing, and communicate with JDC regarding participation or safeguarding matters.
JDC aims to only collect information reasonably necessary for the administration and delivery of its services, events and safeguarding responsibilities.
INFORMATION WE MAY COLLECT
JDC may collect information including names, dates of birth, contact details, addresses, email addresses, competition entries, academy participation records, rankings data, payment information, photographs, video footage, livestream footage and safeguarding-related information where reasonably necessary for the administration of JDC services and events.
HOW WE USE INFORMATION
JDC may use personal information for:
- • Competition administration
- • Academy and membership management
- • Rankings and results publication
- • Coaching and educational services
- • Event organisation and communications
- • Customer support and operational updates
- • Safeguarding and welfare management
- • Livestreaming, photography and media coverage
- • Marketing communications where consent or lawful basis applies
- • Compliance with legal or regulatory obligations
MEDIA, LIVESTREAMING & SOCIAL SHARING
JDC events may include photography, livestreaming, filming, interviews, rankings publication, match coverage and social media promotion.
Participants and/or parents or guardians may provide consent during competition entries, registrations, academy sign-ups or membership processes for media usage, livestreaming and promotional activity.
Certain competition information including rankings, results, statistics and participation records may also be published as part of the legitimate administration of sporting competitions and events.
OUR POLICY
What we’ll do
As part of our safeguarding policy we will:
- • Ensure that everyone associated with the JDC knows how to report a concern.
- • Promote and prioritise the safety and wellbeing of children and young people.
- • Value and respect children by listening to the voice of the child by taking their views seriously and with due consideration.
- • Ensure robust safeguarding arrangements and procedures are in operation at all levels of the organisation.
- • Adopt safeguarding best practice through our policies, procedures and codes of conduct for staff and volunteers.
- • Ensure everyone understands their roles and responsibilities in respect of safeguarding and is provided with appropriate learning opportunities to recognise, identify, and respond to signs of abuse, neglect and other safeguarding concerns relating to children and young people.
- • Provide effective management for staff and volunteers through supervision, so they all know about our policies, procedures and codes of conduct and follow them confidently and competently.
- • Ensure appropriate action is taken in the event of all incidents or concerns, from lower-level concerns and poor practice to more serious allegations of abuse.
- • Provide support to all individuals involved in a concern or allegation.
- • Ensure that confidential, detailed and accurate records of all safeguarding concerns are maintained and securely stored in line with the Data Protection Act 2018 and GDPR. IOC NUMBER - ZC131954.
- • Prevent the employment or deployment of unsuitable individuals by recruiting and selecting staff and volunteers safely, ensuring all necessary checks are made.
- • Appoint a Designated Safeguarding Person for children and young people, a deputy, and a lead trustee/board member for safeguarding.
- • Share information about safeguarding and good practice with children and their parents/carers via appropriate means of communication.
This policy statement and underpinning procedures will be widely promoted and are mandatory for everyone involved with the JDC. Failure to comply with the policy statement and procedures will be addressed without delay in line with the appropriate organisational policy.
THIRD PARTY SERVICES
JDC may use trusted third-party services including Shopify, payment providers, Google services, livestreaming systems, competition management systems, analytics services and email systems to support operations. These providers may process information on JDC’s behalf under appropriate contractual and data protection arrangements.
DATA SECURITY & RETENTION
JDC takes reasonable technical and organisational measures to help protect personal information from unauthorised access, misuse, disclosure or loss. Personal information will only be retained for as long as reasonably necessary for operational, legal, safeguarding, financial or regulatory purposes.
YOUR RIGHTS
Individuals may have rights under UK GDPR including rights relating to access, correction, deletion, restriction, objection and data portability, subject to applicable law.
MONITORING
This policy will be reviewed every three years, or in the following circumstances:
- • changes in legislation and/or government guidance
- • changes in best practice and/or case learnings
- • as a result of any other significant change or event
